Choose the recovery job before the product
List virtual machines, physical servers, databases, file shares and endpoints separately. Specify the recovery unit: one file, an application, a whole machine or an entire service. Then define the time and data-loss objectives and whether the organisation needs local, off-site or isolated copies.
Veeam and Acronis merit evaluation when supported infrastructure and managed recovery workflows matter. Restic is a different kind of candidate: it can fit a team that wants controlled file backup and can own the surrounding scheduling, monitoring and restore process. Do not treat those roles as feature-for-feature equivalents.
Compare the cost of the complete design
Request a quote against a written workload inventory. Include software, repository infrastructure, cloud storage, retrieval, support and staff time. Ask how growth, retained copies and new workloads affect the bill. Confirm minimum commitments and cancellation terms in the actual quotation.
For an open-source design, the absence of a licence fee does not remove the cost of reliable operations. For a commercial suite, additional protection features do not remove the need to configure retention, isolate credentials and test recovery.
Run a recovery-first evaluation
Use an authorised representative dataset and a fresh isolated destination. Restore a file and a complete service appropriate to the product’s scope. Check permissions, application consistency and the steps required when the original machine is unavailable.
Record the operator effort and elapsed time, including prerequisites and business acceptance. Test an unavailable repository credential or failed job notification. The shortlist is based on documented scope; recovery speed, usability and support quality remain unmeasured here.
Decide when each approach is a poor fit
Avoid a self-operated scripted solution if nobody can own failures and recovery under pressure. Avoid purchasing a broad platform when the workload it must protect is outside the supported matrix. Avoid a single administrator identity controlling both production and every recoverable copy without a reviewed risk decision.
Select the option that meets the recovery test and the operating model. Keep the exit procedure, data format and access to old recovery points in the decision record before signing a long commitment.
