Build a workload-level requirement
List mailboxes, OneDrive accounts, SharePoint sites and the specific Teams content or configuration the business needs. Include shared and departed-user data. Define item-level, bulk and alternate-destination recovery requirements rather than using the phrase Microsoft 365 coverage as a single checkbox.
Veeam offers a dedicated product family; distinguish its self-managed software from hosted services when requesting terms. Acronis coverage depends on the service and enabled protection options. Microsoft’s native backup deserves evaluation against the same workload list rather than assuming a third-party product is always necessary.
Inspect access, retention and exclusions
Ask for the exact application permissions and administrative roles used for onboarding and restores. Verify how new users and sites become protected, how exclusions are detected and what happens after a licence or account is removed.
Review the current support matrix for Teams objects and API constraints. Retention duration, immutable behaviour and backup frequency need explicit confirmation for the selected offer. Do not infer unlimited recoverability from a vendor’s general data-protection language.
Compare billing using one tenant model
Create a common inventory of active users, shared mailboxes, departed users, sites and retained data. Obtain the billing rule for each category. Include storage, minimum commitments and the effect of retention after a user leaves. For Microsoft’s metered service, inspect current retained-data billing rather than assuming the base subscription includes it.
