Decide what must be structured

List runbooks, diagrams, service owners, asset relationships and supplier records. Decide which information belongs in a documentation library and which remains authoritative in an inventory or secret store. Avoid turning every page into an uncontrolled duplicate of another system.

BookStack’s book, chapter and page model suits a deliberately organised library. IT Glue merits evaluation where structured IT records and integrations are central. Neither a wiki nor a structured platform can supply accurate ownership and review dates automatically without a maintained process.

Test access and handover

Create a technician role, a restricted collaborator and an administrator. Check both visible navigation and direct access to restricted content. Verify attachments, search results and exports against the same boundary.

Ask a colleague to follow a procedure using only the documentation. Record what they could not find or interpret. The measure of a useful tool is a dependable handover, not the number of pages that can be imported.

Compare contract and maintenance cost

BookStack has no software licence fee, but self-hosting needs patching, backup, identity integration and recovery ownership. Include the time needed to keep the platform available and to validate restores.

IT Glue’s pricing page states per-user monthly prices based on a 36-month term, with five-user minimums shown for Basic and Select and an onboarding fee. Check the current quote, small-team options, integrations and exit conditions. A monthly displayed figure should not be read as a month-to-month commitment.

Prove export and independent recovery

Before importing critical knowledge, test export of representative text, attachments and structure. Establish what revision history, relationships and permissions can be preserved. A readable PDF may be useful in an incident but insufficient for migration.

Keep a controlled independent copy of essential recovery procedures where appropriate. Verify the documentation platform’s own backup and recovery path. Store credentials in an approved secret-management system and reference that process rather than embedding secrets in ordinary pages.
